Position Summary:

Jewish Family & Children’s Service (JF&CS) is seeking a responsible, detail-oriented Administrative and Fiscal Associate to support two of our most unique and meaningful programs: Schechter Holocaust Services and Guardianship.

Schechter Holocaust Services (SHS): JF&CS is home to Schechter Holocaust Services (SHS), Greater Boston’s only program providing Holocaust survivors – the majority of whom are Russian-speaking – with vital services such as home care, food and medicine. These and other services seek to ensure that victims of Nazi persecution can age with dignity while maintaining meaningful connections with one another and with the Jewish community.

Guardianship: For more than 30 years, the JF&CS Guardianship Program has provided customized and comprehensive case management to a diverse range of older adults no longer legally competent to make decisions regarding their health and welfare. Operating out of our Waltham and Central MA locations, we serve as legal guardian, appointed by the Probate Court, for those with Alzheimer’s disease and other dementias, chronic mental illness, brain injury, and developmental disability.

Working closely with the passionate staff of these two programs, the person in this position will perform key administrative and fiscal duties to ensure compliance with government regulations and procedures. This involves working with multiple software applications, maintaining excel spreadsheets, interfacing with outside agencies, and supporting the administrative work of the programs. This position reports to both the SHS Fiscal Operations Manager and the Guardianship Staff Accountant.

Essential Job Functions:

SHS-Specific Functions

  • Review incoming homecare invoices for accuracy and compliance with Claims Conference rules
  • Submit homecare invoices for payment
  • Input data into Claims Conference software.

Guardianship-Specific Functions

  • Continuously monitor client bank account balances throughout the month to ensure all client income has been received and deposited into the correct accounts.
  • Enter invoices into the accounting system, verifying that client balances will cover outgoing payments.
  • Provide the Social Security Administration and MassHealth with the required reports for each client we represent.
  • Assist with various banking activities, including petty cash, deposits, and bank communications when necessary.
  • Cross-Program Functions

Cross-Program Functions

  • Maintain physical files, ensuring that we preserve appropriate backup and authorizations.
  • Assist with audit preparation, as necessary.
  • Collaborate with all members of the SHS and Guardianship teams and other JF&CS program staff.
  • Take on additional duties and projects as assigned, embracing a dynamic and fulfilling work environment.

Educational/Experience Requirements:

  • BA/AS degree desired but not required, or at least three years of relevant work experience.
  • Certification, training or experience in finance or a related field preferred.
  • Strong working knowledge of Microsoft Office Suite (excel, word, outlook, power point) and Quickbooks.
  • Outstanding organizational and detail skills that will ensure the accuracy and integrity of financial and reporting data.
  • Self-initiated as well as able to work effectively as part of a team.
  • Excellent interpersonal, communication and problem-solving skills.
